How to Plan Freight Capacity for Peak Season (Q4 Shipping)

Truck capacity gets tight every Q4. Here is how to plan your freight ahead of the holiday rush so your shipments do not get stuck behind everyone else's.

On Time International branded box truck used for scheduled deliveries

Every year, the same thing happens in the last quarter: retailers restock for the holidays, manufacturers push to close the year on target, and suddenly there are more shipments chasing the same trucks. If you wait until capacity is already tight to start planning, you are competing with everyone else who waited too.

Why Q4 is different

Demand does not spread evenly across the year. Retail replenishment, year-end manufacturing pushes and holiday-adjacent consumer goods all compete for space in the same months. When more shippers need a truck at the same time, the shippers who booked early get the capacity, and the ones who call last-minute pay more for whatever is left.

Start with your own calendar, not the market's

Before worrying about market capacity, map your own Q4:

  1. List your known peak dates. Promotions, inventory resets, plant shutdowns, holiday order cutoffs — anything that creates a spike.
  2. Work backward from your deadline. If a shipment has to land by a certain date, back out the transit time and the realistic pickup window, not the ideal one.
  3. Flag the loads that cannot slip. Not every shipment needs the same urgency. Know which ones genuinely cannot be late.

Book recurring lanes early

If you ship the same lane regularly — say, Monterrey to Laredo, or into the Bajío region — tell your carrier your expected volume for the quarter, not just your next load. A carrier that knows what is coming can hold capacity for you instead of treating every shipment as a one-off request.

Decide your fallback before you need it

Plan what happens if your primary option is not available on the day you need it:

Keep your documentation ready in advance

A clean, fast cross-border move depends on the paperwork being ready before the truck shows up, and that matters even more when everyone else is also rushing. Review our border crossing documents checklist with your customs broker ahead of your peak dates, not during them.

A simple planning checklist

  • [ ] Known peak dates mapped for the quarter
  • [ ] Recurring lanes communicated to your carrier in advance
  • [ ] Fallback option identified for your most time-sensitive shipments
  • [ ] Documents reviewed with your customs broker before volume increases
  • [ ] Storage or cross-dock arranged if cargo needs to stage before delivery
